Information for table hosts who have booked and paid for a table at the AREF Annual Dinner 2025

We are looking forward to welcoming you and your guests to the AREF Annual Dinner on Thursday  25th September.

Please see below further information:

Timings:

18.00hrs - Champagne Drinks Reception, served in The Lawrence and The Morse Room  (Hosted bars for those who have booked)
19.30hrs - Call to Dinner, The Ballroom
22.30hrs - Post Dinner Soiree with live music, The Lawrence
00.45hrs - Carriages

Hosted Bars during Champagne Reception:

We have 15 hosted bars.  10 in The Lawrence and five located in the Morse Room, during the Champagne Reception. 

If you have added this to your booking (click here to check if you have booked and paid), you will have your own high top poseur table during the Champagne Reception.  Each hosted bar has a table number and your company signage, your guests will be directed to your hosted bar upon arrival.  Drinks are not included in this cost and need to be pre-ordered and paid for before the Dinner.  See below further information on pre-ordering drinks  {Note: Drinks not consumed during the champagne reception will be taken to your table in the Ballroom by waiting staff}.

If you have not booked a hosted bar, you will be responsible for finding your guests during the champagne reception.  Champagne and soft drinks will be served by waiting staff throughout the Champagne Reception.

Drinks Pre-Orders (for Ballroom tables and Hosted Bars)

All table hosts must pre-order drinks for your table(s) in the Ballroom, as well as your Hosted Bar if you have booked one (please check the list of hosted bars booked here).

Deadline for orders: Friday 15 August 2025
Payment: Full pre-payment is required. Orders are only confirmed once payment has been received. You are able to pay for the pre-orders via credit card or invoice.

How to order drinks:

  • Table Bookers should click here and select 'Get More Tickets'Please note: the same person who booked the table must also place the drinks order. If they are unavailable, email [email protected].

  • Scroll down the list and select your pre-order wines and drinks as well as the quantity. 

    • Please note: The list includes options for Hosted Bar's and Ballroom Tables. Please take care to only book drinks for the hosted bar if you have one booked (you can check if you have booked one here).

  • Click ‘Next’ to complete the order details.

  • Pay by credit card or request an invoice.

  • Please Note:

    • Additional bottles can be purchased on the night from the cash bar.

    • Any drinks left over from your Hosted Bar will be brought through to your table in the Ballroom.

Your Guests 

All table hosts need to advise us of their guest names.  To do this, please complete the Seating Plan Form - this includes your guest names, along with any dietary requirements they may have, along with the seating plan of where you would like them to sit on your table.  Please complete this form and email it to Mel at  [email protected] by Friday 15th August 2025.

Last Minute Changes to your Guests

If you wish to change any guest names at the last minute, please note:

  • Unfortunately, names cannot be changed on the guest list or table place cards after 5pm on Friday 19th September, as these will have been printed/prepared in advance.
  • Unfortunately we cannot accommodate any changes to dietary requirements after 5pm Friday 12th September.

Whats Included with your table booking

Table bookings: The cost of your table includes: Pre-dinner champagne reception, three course dinner with coffee and petit four, entertainment during the dinner and access to the post-dinner soirée with live music.  Please note:  Drinks are not included in the cost of the tables during the dinner in the Ballroom - these are pre-ordered through us, see details above. There is access to a cash bar throughout the evening.

* For indiviudal tickets, table wine is included.

Hosted Bars: The hosted bars are located in the pre-dinner drinks reception area during the Champagne Reception.  If you choose to add this to your booking, you will have your own high top poseur table during the Champagne Reception.  Each hosted bar has a table number and your company signage, your guests will be directed to your hosted bar upon arrival.  Drinks are not included in this cost and need to be pre-ordered.  {Note: Drinks not consumed during the champagne reception will be taken to your table in the Ballroom by waiting staff}.
If you do not book a hosted bar, you will be responsible for finding your guests during the champagne reception.
